Dawn's Esri Site License "Cookbook" http://www.geo.orst.edu/esri/Dawn_Cookbook.txt Last update: November 11, 2011 The Esri site license as a whole is quite multi-layered, so here is what I hope is helpful information. "Esri Site License Liaison"/Esri Primary Contact = MARK MEYERS ~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~ This has over the years been more in the realm of a broader higher ed. ambassador to and from Esri, rather than a day-to-day logistical or technical support person for the site license. The duties are: -  annually attending the Esri User Conference in San Diego (using 1 of the site license free registrations) including attending the Higher Ed Site License Admin meeting and reporting back as appropriate, as well as putting up and staffing an OSU booth at the Academic GIS Program Fair the Monday evening of the conference (see http://bit.ly/hjyhb7 see p. 4 of http://www.geo.orst.edu/esri/news2009.pdf). - related to the above, gathering and maintaining the latest information about site license software or changes in site license contracts, and sharing that with the campus as needed ... - keeping the campus apprised of any developments in the Higher Education division of Esri, including new books, workshops, web portals, opportunities, etc. ... - maintaining the OSU Esri Site License web site at http://www.geo.orst.edu/esri - issuing the 4 free Esri User Conference registrations that we receive annually as part of the site license. ... These free registrations are for the Esri liaison and for the 3 technical support contacts (see below). If the technical support contacts cannot make the conference, I try to find this out as quickly as possible and issue them to needy grad students or staff who are keen to go. They must still pay for their own travel expenses to/from San Diego. - serving as the primary contact for Esri regarding the annual Master Code for Esri Virtual Campus subscriptions. ... The liaison is the sole contact for this and must distribute the Master Code to those on campus authorized to generate registrations for students, faculty, and staff (see below). - When there are personnel changes on campus, Esri needs the liaison to update them as to who is authorized to make tech support calls to Esri. There are other very important roles with the site license of a more technical nature, and these I call: --> OSU Campus Software License Coordinator --> Esri Technical Support Contacts --> Esri Virtual Campus Contacts --> OSU Campus GIS Assistant OSU Campus Software License Coordinator ~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~ This is currently Angela O'Neal of COSINe. This role normally involves: - handling Esri software distribution campuswide, and statewide (to OSU Extension and HMSC as needed), including distribution of software across participating units/users (SOFTDIST, burn and check out additional CDs for those unable to use SOFTDIST, etc.). Mark Meyers is still listed in Esri's records as the person to receive any new Esri site license software coming in to campus. This is because he usually needs to make his own copies for Geosciences, and then he can pass the disks on to COSINe for community distribution. He will likely also receive upgrades or patches as sent throughout the year from Esri. - maintaining the campus database of Esri license keycodes, hardware keys and software registration numbers, as well as maintaining records of installations, upgrades ... - generating and sending out renewal keycodes every May when our annual Esri contract is renewed ... - processing the renewal of the annual Esri contract, including internal tracking and billing on the annual contract (involves a JV from College or Unit to IS or Purchasing); coordinate with Purchasing and Contracts offices to pay the contract. Esri Technical Support Contacts ~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~ Our Esri contract stipulates a campus-wide designation of at least 3 individuals who are authorized to email or call Esri tech support for serious problems with site license software (i.e., corrupted software, possible bugs in software, NOT just for general queries as to how best to use or install the software). These representatives are encouraged to take technical training from Esri (at 40% off the list price) and will be able to attend the annual user conference free of charge. These contacts are: - Matt Gregory for the Forestry community - Curt Onstott for the Crop and Soil Science/Ag community - Mark Meyers for the Geosciences/COAS/Engineering community Curt Onstott is also the owner of the arcinfo@lists listserv where all announcements about the Esri site license, and related matters go out. The courses are NOT courses for university credit and they should not be viewed by students as a replacement for taking the many credit courses that we already have available in GIS and cartography. These are continuing-education short courses, meant to supplement or quickly refresh as to basic GIS software and mapmaking skills. The contact people are: - Curt Onstott, for Crop and Soil Science/College of Ag - Matt Gregory, for College of Forestry - Theresa Valentine for College of Forestry - Mark Meyers for Geosciences/Water Resources - OSU Campus GIS Assistant for Geosciences/Water Resources/COAS/HMSC and any remaining off-campus GISci Professional Certificate students - Andrea Wirth and Alison Bobal for the OSU Valley Libraries or other parts of campus See this info. at http://www.geo.orst.edu/esri/esri_distrib.html#vc OSU Campus GIS Assistant ~~~~~~~~~~~~~~~~~~~~~~~~ This is an outstanding geography graduate student hand-picked by Dawn Wright each year to assist her with the considerable service load that she has with regard to GIS across the entire OSU campus, as well statewide OSU Extension and HMSC. The funding for this special assistantship is provided by the College of Science to Dawn Wright. In terms of the site license, the student assists with generating Virtual Campus codes and even license keycodes as necessary. He or she is also available to assist students and faculty with general questions on how to obtain and use Esri software, as well as GIS project work where feasible. This student is also required to maintain office hours each term as a lab monitor in the Geosciences Digital Earth lab (Wilkinson 204). This is where project consultation with the assistant may take place. In the past, the assistant has also been the chief logistics coordinator for GIS Day every November.
